A company conference in Las Vegas or Cancun sounds like a great idea until hundreds of people start buying their own flights and hotels, arrive late or on the wrong days, and/or decide they want to bring family members. Then what sounded fabulous becomes a corporate travel nightmare.

Enter ITA Group, the corporate travel specialists.

When it comes to corporate conferences, they make sure everything runs smoothly. From event registration to flights, cars, hotels, and outing events, all the way down to the smallest detail, ITA Group facilitates seamless travel experiences. This level of “white glove” service is the primary goal for their elite team of experienced event management professionals.

However, when ITA group was formed 20 years ago, corporate travel typically meant booking the same airfare and hotel rooms for 200 to 1000 attendees. Everyone flew in to one location, stayed the same number of nights, and flew out again.

But as corporate groups grew in size and requests required escalating levels of personalization, booking these large-scale events created a lot of time-consuming back-and-forth between ITA’s agents and a client’s employees.

As requests had become increasingly more customized. Companies would only pay a certain dollar amount per person, an executive wanted to take their family, someone needed to leave a day earlier or requested to land in a different location and drive to the event, etc.

This level of personalization meant that ITA Group’s original business model, where everything was handled by a live person, couldn’t scale as they grew.

Working With Devetry

ITA didn’t have the resources to build an automated system themselves on-time, so they sought the help of an acceleration partner who could fit quickly and easily into their lean development approach to provide a high level of strategic thinking and support.

From a business standpoint, closing their new corporate client meant a significant increase in revenue, but if they managed to close the market gap, it also meant landing new revenue from other large corporations.

ITA Group chose Devetry as that strategic partner and let them lead the development of ITA’s MVP.

The timing from prototype to final product was a mere 6 months, allowing ITA to sell into the major tech client early on and bring them along for the ride. This made the corporate client feel heard and invested in the product’s success. They knew that Devetry would be able to deliver a comprehensive solution, in the specified time period, and for the right price.

Devetry realized early on that, while a client might say they’re willing to pay “up to” X dollars per person to fly, that price per ticket might only be applicable to a procrastinator who waits until a week before to book their flight. A sliding scale was needed to allow some people to book early, some at the last minute, and the bulk of people in between.

Thus the idea of a “moving average” of flight prices within a “soft budget” was born. Hiding only the most expensive flights, this saves the company money, while still allowing the user to choose from over 80% of available flights.

Together, ITA Group and Devetry partnered to create The Online Booking Tool (OBT): A custom online system system that allows air travel to be booked for thousands of employees at one time, for different events, with different companies, all over the world.

Designed as a lightweight web application, the OBT can take input for any given user, find the event they’re registered for, and render a beautifully dynamic, white-labeled travel experience tailored not only to their company and event, but even their participant type (think employee of the month vs VIP vs C-Suite executive). Based on their participant type, the user can search within the original parameters set by the company.

While the tool only handled air travel at launch, it was built with scalability in mind, and will eventually be used for booking hotels and cars as well. To help ITA further increase their revenue after launch, Devetry delivered trainings, blog posts, videos, slideshares and capabilities decks for the sales team to demonstrate success stories to prospective partners.
